Do you have an underwriter coming to visit and planning to do a file audit soon?   Are you feeling uneasy because you aren’t sure what that means or what the expectations are?  Not to worry, we have the answers.

File audits are completed to confirm agencies are following company procedures and adhering to company guidelines by reviewing a selection of random files from each agency.  The underwriter will provide the policy numbers of the files ahead of time so the files can be pulled.  If your office is paperless, there’s no need to print all the documentation.  Providing a computer with access to the files or someone to sit with the underwriter to review the files is even better.

You’ll find all the documentation and the expectations of what needs to be forwarded to the home office or retained in the agency file on our website.  In the blue section on the left, click on File Guidelines, choose your state and then scroll down to the Personal Lines section.  

The goal is 100% compliance, but if the underwriter finds missing items, he or she will just follow up with a memo asking to forward the documentation to the home office.   While no one likes the idea of being audited, we want to assure you we look at this as a cooperative effort to ensure we have proper documentation for our joint customers.
