Effective immediately, we have updated our Personal Lines Agent of Record (AOR) procedures. Our goal is to continue to allow policyholders the freedom to choose their own agent, while eliminating instances of pricing controversy between competing agencies.
Our Personal Lines Agent of Record Procedure now requires pre-approval on all AOR requests and eliminates midterm agency changes.
Before any agent of record change is approved in your office, please contact your Underwriter for pre-approval.
Additionally, we will no longer accept midterm requests to cancel and rewrite policies. AOR changes may be made by obtaining Underwriting approval and submitting an AOR letter. No other documentation is required. We will process the change effective on the renewal date if the AOR letter is received within five days of the renewal date. If the AOR letter is received after this time, we will process the change at the expiration date of the next policy term. If there is a gap between the time the AOR letter is submitted and the renewal being generated with the new agency code, we will recognize the new agent as the servicing agent.
We discourage the practice of making changes to an existing policy until the agency recode is processed. However, we understand some changes are necessary. Typical servicing during the policy term includes accepting payment, processing maintenance changes such as address or vehicle changes, or adding scheduled items. Any other changes should be requested to be made at renewal at the same time the agency recode is processed. These changes include but are not limited to coverage limits, premium adjustments, insurance score or group discounts. (Appropriate signed consent forms will be required.)
We will continue to notify agents of their insureds’ intent to change agents when we receive an AOR letter. The company also reserves the right to make the final determination in agent of record situations.
